The Fee Structure Policy is in place to ensure timeliness, punctuality, and regularity of attendance against the value and importance of the therapist’s time and effort in providing therapy and being present and available for sessions with the client.
Following is the fee structure policy formulated to protect the financial rights of both the client and therapist:
Admission Fee
To secure your slot with an assigned therapist and ensure timely access to our services, an admission fee is required before scheduling your first session. This fee is applicable to clients on both monthly and weekly/per-session payment plans. Due to the high demand and limited availability of our therapists, this fee helps us manage our client waiting list efficiently. Additionally, the admission fee represents your formal entry into our organization, granting you access to our comprehensive range of services.
Monthly Payments
1. Clients that are on a monthly payment plan will pay the full month’s amount before the start of the month’s first scheduled session.
2. Every one session in that the client is a no show or last-minute cancellation, a follow up session will be required with the Manager of Operations and Finance at CIC (for which the Manager will contact said clients directly) to discuss why this delay is taking place and how it can be resolved before further sessions can be conducted.
3. Upon failure to attend two sessions (via no show or last-minute cancellation) the slot will be released with the therapist and admission fee will have to be paid again in order to continue sessions with the therapist.
Per-Session/Weekly Payments
1. Clients that are on a weekly payment plan will pay one full session’s amount before the start of the first scheduled session with their therapist.
2. Before the second session, the client will pay the full amount of their per-session charges for the second and third therapy sessions in advance.
3. Before the third session, the client will pay the full amount of their per-session charges for the fourth therapy session in advance. This structure will follow similarly for all subsequent sessions.
4. Every one session in that the client fails to attend a scheduled session (via no show or last minute cancellation), a follow up session will be required with the Manager of Finance at CIC (for which the Manager will contact said clients directly) to discuss why this delay is taking place and how it can be resolved before further sessions can be conducted.
5. Upon failure to attend two sessions (via no show or last-minute cancellation) the slot will be released with the therapist and admission fee will have to be paid again in order to continue sessions with the therapist.
Additional Information
Kindly note that wherever ‘no show’ and ‘last-minute cancellation’ is written only refers to sessions which were:
- pre-scheduled
- clients received a reminder 24 hours in advance
- clients received their session link 24 hours in advance
- yet the clients failed to show up at the appointed time.
‘No show’ or ‘last minute cancellation’ does not refer to sessions which were cancelled by the client at least 24 hours prior to the scheduled session due to ‘valid emergencies’ which include but are not limited to:
- major health issues/hospitalization of the client or someone in the nuclear family structure whom the client has to take care of as well as other reasons (in this context) due to which the clients functionality to attend sessions is affected
- death within immediate or extended family which the client
has to take part in or due to which clients functionality to attend sessions is affected - financial issues due to which ability to pay for a sessions is compromised.
For Valid Emergencies: Parents/Clients/Guardians will have to reschedule such sessions to a later time within the same week (if possible) or any following week after to ensure therapeutic continuity and progress is not lost.
Other invalid emergencies such as:
- birthday parties
- exams
- sports events
- short (week-long) family vacations, or
- other appointments
must be informed of at least a week in advance in order to not count as a ‘no show’.
Lengthy (month-long) family vacations must be informed of at least a month in advance to not count as a ‘no show’.
Clients discontinuing sessions/ceasing attendance during the therapeutic process without notice prior to the closure date, will be subject to the Re-Admission procedure. This includes:
- refilling the Client Data Sheet
- having a fresh consultation session with the Chief Care Officer
- paying the admission fees as per the Monthly Payment/Per-Session Payment structure.
This action will apply if Client does not return to continue sessions within a 3-month grace period.
